Privacy Policy

This Privacy Policy explains how Kayroma processes personal data of people using kayroma.com. Kayroma connects people seeking work, assignments or projects (PRV) with employers, companies and other entities seeking employees, specialists or subcontractors (ORG).

1. Data we process

Depending on how Kayroma is used, we may process registration and account data, including name, surname, pseudonym, year of birth, login data, language and country settings, professional information, occupations, experience, work preferences, company information, job offers, profile content, photographs and other materials uploaded to the service. We also process data generated through use of the service, including reactions and matches, communications, comments, reports, publication information and technical data such as IP address, session identifiers, device/browser information, timestamps and technical logs.

2. Purposes and legal bases

We process data to create and operate accounts, provide Kayroma functions, display profiles and offers, enable matching and communication, maintain security, prevent abuse, handle reports and claims, and maintain and develop the service. Legal bases include performance of a contract or pre-contractual steps (Art. 6(1)(b) GDPR), legal obligations (Art. 6(1)(c)), legitimate interests such as security, fraud prevention, defence of claims and service development (Art. 6(1)(f)), and consent where required (Art. 6(1)(a)).

3. Public profiles, offers and search engines

Information intended for publication may be publicly available. Kayroma provides public job and workforce pages, including /jobs and /workforce, which may be indexed by Google and other search engines. Login credentials, private communications and information designated by the system as private are not intended for publication.

4. Matching and automated processing

Kayroma may automatically compare profile, occupation, experience, preference and offer information to organise or suggest potential matches. A match is informational and is not an employment decision or a guarantee of a contract. Contact, recruitment and cooperation decisions remain with users.

5. Communications and private content

Messages and functions marked as private are intended for their participants. The controller may access data where technically necessary to provide the service, ensure security, investigate a report, comply with law or protect rights.

6. Recipients

Data may be made available, as necessary, to providers supporting hosting, IT infrastructure, file storage, email/communications, security, technical support and legal or accounting services, and to competent authorities where required by law.

7. Retention

Account data is generally retained while the service is used and afterwards for the period necessary for legal obligations, security, settlements and establishment, exercise or defence of claims. Retention varies by data type and purpose. Technical backups may remain for a limited period.

8. Cookies, sessions and technical data

Kayroma may use cookies and similar mechanisms necessary for login, sessions, security, settings and proper operation. If mechanisms requiring separate consent are introduced, users will receive appropriate information and choice.

9. Your rights

Subject to GDPR conditions, users may request access, rectification, erasure, restriction and portability of their data and object to processing based on legitimate interests. Consent may be withdrawn at any time without affecting prior lawful processing. Users may lodge a complaint with the competent supervisory authority; in Poland this is the President of the Personal Data Protection Office.

10. Account and data deletion

Users may end their use of Kayroma. Account deletion does not always mean immediate deletion of every record: some data may be retained where required by law or necessary for security, settlements, claims or integrity of records concerning other users.

11. Security

We use technical and organisational measures appropriate to the nature of the data and risk. Users must protect their account credentials.

12. Changes and contact

This Policy may be updated as Kayroma, its functions or applicable law change. The current version is published here. Privacy and personal-data matters may be addressed to the controller through the current contact channels made available by Kayroma.
